Do I need highspeed broadband to access eircom online software? Click to view answer
The faster the speed available to your users the more responsive the application will be in uploading or downloading information, even though average speed requirements are quite low. See www.eircom.ie for more info on broadband plans.

What does the Installation service include? Click to view answer
The installation service will include:
  1. Contact with the Primary admin to discuss installation
  2. Validating the required service has been assigned to the end user
  3. Advice on changing services passwords for end users
  4. Downloading the required application client software and all required downloads
  5. Installation of the client software and configuration of service to ensure the service is fully operational
  6. All services will be provided with short demonstration highlighting how to access services, with information on where to find the getting started guides
How many installation services do I require? Click to view answer
Installation service is only carried out based on the number of installation services ordered. If you have 5 users that require an installation service you need to purchase 5 installation services. Installation services are based on per service per user.
What about email Migration? Click to view answer

eircom provides step by step guides on email migration, for a customer with an existing in house server or POP email service. Following the steps provided will assist the customer in carrying out their own migration or will help when working with their existing IT provider.

eircom can assist with email migration and is based on a case by case basis. Before providing any commitment to a customer to migrate services, eircom will need to know the following information:

  1. How many users need migrating?
  2. What Client does the user have? (Outlook, Outlook Express, Firebird)
  3. How much data does the user have?
  4. Is the data held on the server or on PST files?

This service does not include upload or the creating of contact lists or the creation of email campaigns.
I am using Internet Explorer version 6 and cannot complete my order? Click to view answer
There is a known problem for customers who may be using Internet Explorer 6 behind a proxy server. You may not be able to click on the Place Order, Add User or Reset your password. To complete your order, you can:

  1. Contact an eircom representative to complete your order on 1800 24 25 54
  2. Change Internet Explorer 6 settings (see note below) or upgrade to Internet Explorer 7

Update Internet Explorer 6 settings:
  1. Open the Internet Explorer 6 browser window
  2. On the Toolbar, click on Tools and Internet Options
  3. In Internet Options, click on Advanced at the top
  4. Scroll down to HTTP 1.1 settings, select Use HTTP 1.1 through proxy connections
  5. Click Apply and OK, close your browser windows and reopen Internet Explorer. The problem should now be resolved, contact eircom Technical Support if the issue persists.

eircom online software will see the unification of business software applications with the eircom broadband network to deliver software as a service and unified communications on-demand to Irish businesses, helping them to substantially reduce costs and increase productivity.

eircom are bringing a new method of supplying business services to the Irish market by delivering proven software solutions over their next generation broadband network.

This will bring together the best of world class products and services to the benefit of small and medium sized businesses and to the wider Irish technology industry. The broad range of services available from eircom online software will enable customers to eradicate capital outlay and simply use the service without being IT experts.

How do I get started? Click to view answer

1. To get started:

  1. Go to http://business.eircom.net/onlinesoftware
  2. Browse through the applications on offer
  3. Choose your desired application and then Add to Cart
  4. Select Checkout to continue

2. If this is your first online software order, when you click Checkout you will be prompted to register your business. To register:

  1. Provide your company details – contact and company name, email address, Phone number and eircom Account Number
  2. Once your details have been validated, you can proceed with your order and you will receive an email confirming your registration.

3. Complete your order:

  1. Click Register & Next to be taken to a page that will allow you to review your order.
  2. Confirm your order and submit payment details
  3. Once you are happy with your order, fill in the required details and follow the prompts to the secure billing and order confirmation pages.
  4. Your order will be confirmed.
  5. You will receive an email to confirm that we have received your order.
  6. A second email will then be sent to you once your application has been provisioned. This email will also contain directions to the Online Software Management Console so you can access your service.
  7. You will now be ready to start using the online software service.

eircom online software provides any customer with access to enterprise class applications over the internet. This service offers your organisation the opportunity to use software tools you might already use or services you could be using at a cost that will reduceyour current expenditure levels and in a manner that provides increased flexibility and manageability.

eircom have online software available under 3 main categories:

  1. Microsoft Communication Services: This includes Microsoft Exchange business class email and collaboration suite, Microsoft Sharepoint,  Microsoft OCS and Web Conferencing.
  2. Security: This includes  McAfee Total Protection Suite, Mozy PC Back up services.
  3. Business Applications: Microsoft CRM and  MailGinger for email campaign management.
Do I need to commit to a contract? Click to view answer

Each service currently on offer with the exception of our email campaign product is available on a recurring monthly plan. This means that with just one months notice you can terminate the services. This offers the customer real flexibility.

The email campaign service is a 'once off' purchase.

Can I increase or decrease numbers of users on each service? Click to view answer

The first user for your company that purchases services will be set up as the Primary Administrator. This person can then add, delete, edit, assign or un-assign users and applications at any time. All changes are managed online via the online software Management Console. The administrator simply chooses the new application, enters the user information and receives a validation email.

Multiple users can even be added all at once by the Administrator to save time. Once added the individual user can keep their own profile updated.

How do I pay for the service? Click to view answer

If you are an existing eircom customer, we can invoice these services on your telephone bill. Alternatively, any business/organisation can pay using a valid credit card.

How does the pricing work? Click to view answer

For most applications, you simply pay per service per month for each user. To use Microsoft Exchange as an example, if your business has 10 users of the service, you will invoiced for €9.99 (ex.VAT) per user per month by 10 users – a total of €99.99 (ex VAT) per month. There are no extra costs associated with buying or managing new servers or upgrading to the latest software versions – it is all included in your plan.

For other software, like Microsoft SharePoint, you pay per service per month for unlimited users based on your data storage needs. For example, if your business has five employees you will only need to purchase one SharePoint service for €22.99 per month which gives you 3GB data storage, which all your employees can use.

Included in all services:

  • Access to the software (no need for buying licences upfront)
  • Updates and upgrades to the software (always have the latest versions)
  • Management and storage of your data (no need for costly servers)
  • Maintenance and support

Any eircom online software service provided through eircom from an overseas data centre will comply with EU data protection policies or United States Safe Harbour registration which guarantees the security of your personal data and offers all the personal data protections which you would obtain from any Irish service provider.
How secure will my application data be? Click to view answer

Depending on the application service, your data may be stored locally or overseas. In either event it will be stored in a secure data centre where the service level agreement is to have your data available 99.9% or 99.5% of the time (service dependent).

Your data will be protected by multiple levels of physical and technical security. Each data centre used will be SAS 70 type II compliant. This is an internationally recognised standard which evaluates and audits a hosting centres control activities.

To give you even greater peace of mind, for your initial order of some applications you will receive the first 30-days free (Trial Period). During this time, if you are unhappy with the service you can cancel your subscription without charge before the end of the 30 days.

What is a Domain Name? Click to view answer

In order to utilise hosted Microsoft Exchange 2007 with eircom your company will need a domain name. Your domain name is your unique address on the Internet. It is how people find your website and remember your email address.

For example: A domain name www.mycompany.ie or www.mycompany.com also provides you with an email address of yourname@mycompany.ie or yourname@mycompany.com.

If you do not own a domain we recommend that you purchase one from eircom.net, via your account manager. Or you can order online from the eircom web store

A domain name is your very own, unique identity on the Internet. Every business that operates on the web needs a domain name, or address on the Internet. The more accurate and similar your domain name is to your organisation or company name, the easier it will be for customers to remember the address.
How does a domain work? Click to view answer

A domain name is the first step to take when developing a company website and email address. Your domain name is made up of three parts:

  1. Part 1: Usually www. It stands for world wide web.
  2. Part 2: Your chosen name. It could be the name of your company, a product or a range of products. We recommend keeping it as close to your company name as possible.
  3. Part 3: The domain extension. This indicates where you registered your domain name. '.com' originally came from 'commercial' business. This registry is controlled by a body in the United States, as are '.net', '.org' and several others. Particular countries also have domain registries. '.ie' is for Ireland, '.co.uk' is for the United Kingdom, '.fr' is for France and so on. eircom offer 18 domain names including .ie, .eu, .co.uk, .com, .net, .org, .biz and .info.

A domain name needs to renewed on a yearly basis. If you choose to buy your domain with eircom, we send reminders of renewal payments.

It is important to take ownership of your company name on the Internet before someone else does. In some jurisdictions, it is possible for a third party to register your company name, thereby preventing it from being available to you.

To avoid this, eircom can help you register your domain name now. You do not have to have an online presence in order to register and protect your company name.

Every business or organization with a web presence will benefit from having an accurate and representative domain name. As the amount of business done online increases, a domain name will become ever more vital from a branding and image perspective.
Why should I get a .ie domain? Click to view answer

A .ie domain is the official registry for Irish businesses or organizations. A .ie domain signifies that the business operates within the Irish market, be it an Irish owned organization or an international company that has an Irish presence.

Currently there are over 63,000 registered .ie domain names.

How do I get a .ie domain? Click to view answer
Any organization can apply for a .ie domain, providing the legitimacy of the organization can be proved. The IEDR maintains the database of .ie domains and specifies that proof on legitimacy should be provided.
What do I need to provide? Click to view answer

If buying online with eircom, you can enter your RBN or CRO number. If you do not have this, then you can still buy online but you must fax us one of the following:

  1. Registered Company Correspondence on company letterhead stating VAT number
  2. Sole Trader Correspondence on business letterhead stating VAT number or letter from solicitor, accountant or bank manager on, company letterhead, confirming that the applicant trades under specified name
  3. State Agency/ Educational Body Letter on headed paper stating domain name requested and signed by a member of management.
  4. Trademark name Correspondence on letterhead stating trademark number.
  5. Non business/ Discretionary/ organization name Evidence showing a connection between the applicant and the proposed domain name. Note: the IEDR holds the right to assess the name on its own merit.
What is an 'Autodiscover' record and why do I need one? Click to view answer

In order for Microsoft Exchange 2007 and Microsoft Outlook 2007 to function properly, you must have a special DNS record set up for your domain which points to the eircom hosted AutoDiscover server. Your ISP host providor will need to create a subdomain called 'autodiscover.mycompany.com' and add the CNAME record that points to eircom hosted AutoDiscovery DNS record.

IMPORTANT: Due to distributed nature of DNS, the CNAME record you created following instructions in this article may take up to 48 hours to propagate across the Internet. In other words, you will be able to take advantage of the AutoConnect feature only when DNS changes have fully propagated. Some features that will not work properly without an Autodiscover record:

  • Outlook 2007 setup using AutoDiscovery
  • Free/Busy information in your calendar
  • Out of office Autoresponse messages
  • Proper Syncing Of Offline Address Book

How is Exchange different than a POP3 server? Click to view answer

POP3 only caters to email and not contacts, calendars, or tasks. That means that although you can receive email on your computer, all the contacts, calendars, and tasks are stored locally.

If your hard drive crashes or if a virus wipes out your data, you lose everything. With Exchange, since a mirror copy is stored on the Exchange server, you can check your information from several locations at anytime.

Do I need to have a domain to get the Exchange service started? Click to view answer

To use the hosted Exchange, you will need a domain that you own. If you do not own a domain you can purchase one from eircom.

eircom has binded a digital certificate to the connection that allows a full SSL connection (the same encryption used for online banking) from Outlook to the server.

Do I need to change my MX Record? Click to view answer

Yes. You need to follow the steps below (for assistance you can call our online software support team on 1800 428 100, or your current IT support provider).

DNS Changes should be made via your current ISP provider. The following DNS change needs to be made to your MX record to enable the new hosting service from eircom.

  • Mail Server - Priority
  • mx01.securembox.com – 10
  • mx02.securembox.com – 20
  • mx03.securembox.com – 30
  • mx04.securembox.com – 40

* Autodiscover CName redir.securembox.com

DNS record changes can take up to 48 hours to update and propagate across the Internet.

In the case of eircom being your current ISP, the following request needs to be sent:

Please change MX record for domain name mycompany.ie to the following:

  • mx01.securembox.com – 10

Also please add the following CNAME record to the DNS record of the mycompany.ie domain:

CLOSE email

Remember to change the mycompany.ie domain in the example above, to the domain name that you wish to have changed.

What is an Autodiscover record and why do I need one? Click to view answer

In order for Microsoft Exchange 2007 and Microsoft Outlook 2007 to function properly, you must have a special DNS record set up for your domain which points to the eircom hosted AutoDiscover server.

Your ISP host providor will need to create a subdomain called autodiscover.mycompany.com and add the CNAME record that points to eircom hosted AutoDiscovery DNS record.

Some features that will not work properly without an Autodiscover record:

  • Outlook 2007 setup using AutoDiscovery
  • Free/Busy information in your calendar

Can I collect my email using Apple iPhone? Click to view answer

Yes. The iPhone 3.0 uses Microsoft Exchange ActiveSync, to push your Mail, Contacts, and Calendar data to your iPhone (Tasks are not synchronised).

Note that the iPhone will only support one Exchange account.

In addition, setting up these instructions will over ride any Contacts or Calendars already on the device. Please back those up prior to setup as they are not recoverable.

Windows SharePoint Services is a service offered by eircom and provides team services and sites to Microsoft Office System and other desktop programs. It also serves as a platform for application development.

With the IT resources provided (such as portals, team workspaces, e-mail, presence awareness, and Web-based conferencing), Windows SharePoint Services enables users to locate distributed information quickly and efficiently, as well as connect to and work with others more productively.

Once set up for your account, SharePoint will be available from any web browser by going to the domain name.There will be a set of templates that you are able to configure which vary dramatically.

As a high-level summary of SharePoint, think of it as a web site only available for your team for storing and sharing all of the documents. It is accessible via any web browser.

Yes! You can purchase SharePoint service as a stand-alone service without exchange services.
How do you ensure security of hosted documents? Click to view answer

SharePoint takes advantage of an Active Directory structure shared at the end customer level. Members of the directory are each assigned a role and SharePoint automatically provides role-based security and single sign-on authentication. In addition, individual files and directories can be given specific security attributes.

In addition, our data center is protected by four layers of card-access barriers, 24x7 video surveillance at all entry points and on each isle of the raised floor area, plus 24x7 professional physical security staff. Individual equipment cabinets are locked and not accessible to maintenance staff.

The provisioning is automated. We provide a self-service Web portal that allows customer administrators to provision new services.

Yes. Custom Web parts can be uploaded to a site Web Part Gallery through the Site Settings user interface built into SharePoint.

The self-service Web portal allows customer administrators to control how many site collections customers create, their overall storage quota, and which users have access to SharePoint site collections.

Access can be controlled on a more granular basis through SharePoint.

Can I add a user to SharePoint, who is outside of my domain? Click to view answer
Yes. By adding user to your portal and assigning them access to the sharpoint serivice non domain users can login to SharePoint site using their email and password provided.
Are you able to upload large documents? Click to view answer

Yes. With Sharepoint 3.0, you are able to upload documents up to 250MB. If you are using the Single Document Uploader sometimes the web browser will time out before the document is able to upload. In these cases, we suggest using the Java Multiple Document Uploader to allow for large document upload. Please follow these steps in order to upload larger files to a document library.

  • Log into your Sharepoint portal with Internet Explorer.
  • Go to the Document Library where the files will be uploaded.
  • Select the arrow pointing down next to Upload.
  • Select Upload Multiple Documents.
  • Select the file you will be uploading. We recommend only uploading one large document at a time.
  • Select OK.
Is my SharePoint site and documents backed up? Click to view answer

Yes. Full nightly backups of the shared content db and the config db.

eircom can only recover the SharePoint system in a total outage, i.e. complete data loss to all customers.

eircom are exploring options around supporting line item, customer level data restores, no ETA at this point, we will update you on when we can offer that.

How can I backup my SharePoint site? Click to view answer

Using Microsoft free SharePoint Designer:

  • In SPD go to File Open Site
  • Under Open Site type in the URL you wish to have backed up , click OK and type in the login credentials
  • Click Site Administration and Backup Web Site
  • In the Backup Web site box check 'Include all sub sites in archive' to include all sub sites of your SharePoint site
  • In the Backup Web site dialog box, click OK
  • In the File Save dialog box, specify the location you wish to save your backup.

Note: You may have to re-authenticate multiple times throughout the process. Depending on the size of your SharePoint site this may take a while

Sharepoint Desginer 2007 is a program created by Microsoft that will allow you to create advanced customizations to your Sharepoint site. You can quickly and easily create dynamic and professional-looking Web sites including team sites, blog sites, and a variety of Meeting Workspace sites using any of a wide array of site templates.

Use reports in Office SharePoint Designer 2007 to help manage your site by checking for broken links, unused pages, cascading style sheets usage, and master page usage. The scanning service is continuously active even when not connected to the Internet, but an Internet connection is required for updates.

The installed McAfee agent constantly communicates with the McAfee Network Operations Center (NOC) for regular and emergency virus updates.

Total Protection Service will automatically check for updates five minutes after logon. If a machine is left on, the agent will then check for an update at regular intervals, preconfigured at 12 hours, from the last successful update check.

Additionally, from the secured, McAfee SecurityCenter, the update interval time can also be set by an administrator to check for the updates up to every four hours or later.

McAfee has identified a potential concern in their recent release of DAT 5958 that may impact systems running Windows XP Service Pack 3. This DAT has been found to cause a W32/Wecorl.a false-positive detection, which may make Windows XP SP3 systems unstable. Resolution : McAfee has rolled back to DAT 5957 to prevent impact, and then updated to the newest correct DAT immediately thereafter.

All systems will automatically be updated to the latest correct DAT (now 5960), but you can take action to make this happen more quickly if needed. To ensure the machines have updated with the latest correct DAT, please have the customer's go to Reports > Computer Profiles and look for "DAT Version". If the customers have any remaining systems running DAT 5958, please recommend the users of these computers to click on their Total Protection Service system tray icon and select "Update Now". Total Protection Service offers an On-Access Scanner. As files or email attachments are accessed or opened in Microsoft Outlook, virus scanning is performed to detect viruses.

McAfee will not clean infected email messages before you see them, but rather stops the virus at the point of access.

Viruses that write to disk will be detected by the On Access scanner.

Can I use a non-Microsoft browser to install McAfee Total Protection Service Basic? Click to view answer

No. Installation requires Microsoft Internet Explorer (version 5.5 or later). However, once the McAfee Total Protection Service Basic software has been installed, you can continue to use your default Internet browser.

This can appear on systems running Microsoft Windows XP Service Pack 2, where ActiveX controls are denied by the browser. Click the narrow bar at the top of the Installation Denied web page and select Install ActiveX Control. You return to the original installation page, where you can enter an email address and proceed successfully.

Typically, the URL in your email message was truncated or badly formatted. Make sure you are using the entire URL with no spaces, and that the company key (the value in the URL after the characters CK=) is complete. This error can also indicate that your trial evaluation period or subscription has expired.

This error can be caused by several problems, but the most common solution is to accept ActiveX controls. If the narrow bar at the top of the web page displays a message about ActiveX controls, click the bar and select Install ActiveX Control. You return to the original installation page, where you can enter an email address and proceed successfully.

Other problems that can cause this error are:

The browser cache is full; the browser security level is set too high; the user does not have administrator rights or a registry file is missing.

The installer has detected other virus protection software on the computer. An anti-virus program might have been bundled with the PC preinstalled software when you bought it. You must uninstall other virus protection software:

1. From Windows Control Panel, open Add/Remove Programs.

2. In the list of programmes, locate any virus protection software (including Total Protection for Small Business), then click Remove.

If you still receive this error, some components might be installed but not visible.

Yes. When you first install the firewall protection service, select Prompt mode. Then check the Unrecognised Programmes reports regularly to see which programs are detected on client computers, and approve appropriate programs in a policy. Select Protect mode after you have approved all the applications needed to conduct business.

You can also select Report mode as a 'Learn' mode if you do not want your users to be prompted for a response to detections.

If you have added computers, or have upgraded from trial to full product, some computers may not appear in your reports. If you upgraded or purchased additional services using a new email address, you received a new customer key and URL for a new account instead of adding licenses to your existing account. Because you have two customer keys (CK=), reports appear in two places.

No. However, you need to reinstall McAfee Total Protection Service Basic after reinstalling the operating system.
